Confidentiality
- All work and business affairs that Liam Clayton VA Services is involved will be kept confidential and not used it for personal gain or promotion, without full consent from the client.
- The client will be the own and hold intellectual copyright of all work undertaken by Liam Clayton VA Services.
Work and Fees
- Liam Clayton VA Services will quote either a set monthly fee , a one off task orientated fee or an ongoing hourly rate.
- Final checking of all work supplied and raising any concerns , errors is the responsibility of the client.
- The client understands that Liam Clayton VA Services estimated time cost for completing the work can be adjusted accordingly, subject to a full written explanation prior to consent from the client.
- Any mistakes must be reported within 5 working days of receipt of the completed work. Errors generated by Liam Clayton VA Services will be rectified free of charge, but amendments or alterations requested by the client thereafter will be charged at the normal rate.
- If upon receipt of the item / task to be worked on during the early stages, significantly more work is required than had been anticipated / agreed initially , Liam Clayton VA Services may renegotiate the fee and/ recalibrate the deadline after written dialogue with the client.
- Similarly, if during the term of work, additional work is requested by the client, Liam Clayton VA Services may discuss the fee and the deadline for the work and a written agreement is required.
- Set number of hours per month will be carried over to subsequent periods for the client if the set numbers have not been used and where this has been previously agreed in writing.
- If a project is based on an hourly rate, then a minimum invoice amount is for 15 minutes and thereafter the hourly rate is billed in increments of 15 minutes, with the time rounded up or down to the nearest 15 minutes.
- Clients will be invoiced at the end of each month upon completion of individual assignments.
- New clients will be invoiced after the end of first month of the commencement of any work undertaken, subsequent work will be invoiced at the end of each calendar month.
- Payment is to be made within 30 days of the assignment completion date unless otherwise agreed by both parties in writing.
- All other expenses bought for on behalf of the client’s business will be added to the invoice for reimbursement.
- Payment is to be made by bank transfer; payment details will be detailed on each invoice.
- If an invoice becomes overdue, no further work will be undertaken.
- Payment is due to us within 30 days of our sending you an invoice. Interest will be charged on a daily basis at 8% above Lloyd’s Base Lending Rate and will accrue from 30 days after delivery by us of the invoice.
Client Obligations :-
As a client you will:-
- Provide us with clear, timely and accurate instructions.
- Provide all documentation and information that we reasonably request in a timely manner.
- Ensure that the personal data you provide us with is accurate and you advise us of any changes to this.
Our Responsibilities:-
Liam Clayton VA Services will:
- Endeavour to offer our clients a high quality personal service at a fair cost. Our aim is to facilitate the effective management of tasks to enable us to operate as efficiently and economically as possible.
- Treat you fairly and with integrity and respect.
- Communicate with you in straightforward language and explain all terminology used
- Exercise reasonable skill, care and diligence in carrying out your instructions represent your interests and keep your matter confidential.
- Keep you regularly informed on progress.
- Deal promptly with any enquiries that you may have and we will always try to return your telephone call on the same day.
- Our advice will not constitute legal advice which, if required, should be sourced from a Solicitor or Lawyer who is qualified to advise within the laws of the relevant jurisdiction.
Business Hours
- Our normal opening hours are between 9.00am to 6.00pm, Monday to Friday, excluding all bank holidays.
- Appointments and work can be arranged at other times if desired and suitable to all parties.
- Messages can be left on the telephone service outside of our normal opening hours.
- We will aim to communicate with you by such a method as you may request. Unless you withdraw consent, we will communicate with you and with others when appropriate by normal, unencrypted email using the email addresses, including sending bills and other confidential information. We cannot be responsible for the security of correspondence and documents sent by email. You should be aware that emails (in particular when unencrypted) may be intercepted, delayed or corrupted or may fail to be delivered. We make reasonable attempts to exclude from our emails any virus or other defect that might harm a computer or IT system. You undertake to act likewise with any electronic communications you send to us or with any discs or memory sticks or other electronically stored information. Neither you nor we shall have any liability to each other in respect of any claim or loss arising in connection with such a virus or defect in an electronic communication, discs, memory sticks or other electronically stored information other than where such a claim or loss arises from bad faith or wilful default.
